For each tool, automation, dashboard, or workflow in your system, ask five questions:
- What useful outcome does it produce? Name the specific result it enables.
- How much time does it save each week? Estimate conservatively.
- How much time does maintenance, configuration, verification, and repair consume each week? Include failed runs, troubleshooting, and updates.
- What breaks when it fails? What is the downstream impact?
- Would removing it make the workflow simpler? Would the useful work still get done?
Apply this decision rule to each item:
- Keep: Produces a clear outcome and saves more time than it consumes.
- Fix: Useful outcome, but maintenance or failure rate is excessive. Reduce scope, simplify, or replace the fragile piece.
- Cut: No measurable outcome, duplicates another tool, or creates more work than it removes.

Productivity is not the number of tools, tasks, automations, or captured notes in a system. It is the ratio between useful output and coordination overhead. A sophisticated system with high maintenance costs may be less productive than a simple system with fewer moving parts. A Notion workspace with five hundred pages that takes thirty minutes daily to maintain may produce less useful work than a plain-text file that takes two minutes to open and update.
